Review a personalized gift proof before approval

Use a focused checklist for names, layout, color references and product details so approval means more than a quick glance at the artwork.

A proof is a decision document. It records how the design is intended to appear and gives you an opportunity to resolve questions before production. Treating it as a quick visual preview can leave important details unchecked, especially when several names, products or decoration positions are involved.

Before reviewing, confirm which file is the current proof and what type of approval is being requested. A digital layout can help with positioning and text, but it should not automatically be treated as a physical sample of color, texture or finish.

Check the product before the decoration

Compare the product name, model, color and any relevant dimensions with your order. A correct logo on the wrong product is still a problem. If the proof uses a generic outline or a different product photograph, ask the team to identify which details are illustrative.

Confirm the decoration position and the stated size. Look for measurements that relate the artwork to the item, such as width and distance from a defined edge. A logo displayed at a comfortable size on your screen may be much smaller on the finished gift.

Review every character separately

Read names, dates, initials and messages slowly. Check capitalization, punctuation and any special characters. Compare variable names against the approved list rather than relying on memory. If there are several layouts, confirm which name belongs to which product or color.

Ask another person to check the final text where practical. Familiarity can make an error easier to overlook. For a multilingual design, have someone who understands the intended wording review the actual proof, including line breaks and any substituted characters.

Distinguish layout approval from finish approval

Identify what the proof establishes: the text, the position, the dimensions and perhaps the color reference. Ask which aspects need a physical sample or another form of confirmation. Screens and printed proofs may not reproduce the finished surface in the same way.

If a sample is offered, record whether it is the same product and decoration configuration. An existing sample may be useful for understanding a general process without demonstrating every detail of your own order. Keep these distinctions visible in the approval record.

Make corrections in one clear response

Collect changes into a single marked-up file or numbered message. Avoid sending several partly overlapping versions to different contacts. State whether the design needs another proof after correction or whether a specific minor correction can be accepted in writing.

  • Confirm the product, color and quantity shown in the reference.
  • Check the complete text against the final recipient list.
  • Review placement and decoration dimensions.
  • Resolve questions about color, finish and sample differences.
  • Identify the exact proof version being approved.

Save the final proof together with the quote and approval message. If the design changes later, record the revision and obtain confirmation of its effect on the schedule or price. A clear approval protects the intent of the gift and gives everyone one version to work from.
